We’re seeking an Executive Director and an Office Manager/Receptionist to play pivotal roles in steering our ship towards greater success. Executive Director:

The Texas Maritime Museum (TMM) seeks a highly qualified individual to serve as the
Museum’s permanent Executive Director to manage and oversee the administration and
operations of the Museum programs, staff, and facilities. This is a full-time salaried position at
the Museum’s offices in Rockport, TX. The Director works in close partnership with the
Museum’s Board of Trustees, volunteers, and supporters to carry out the TMM’s mission,
programs, and operational strategies and to ensure the safety, security, and well-being of the
facilities and persons involved with TMM operations. The Director represents the TMM in the
community and dealings with stakeholders, local and state agencies, local and regional
community organizations, businesses, sponsors, and donors.

Receptionist/Office Manager:

The Texas Maritime Museum (TMM) has an immediate opening for an Office Manager/Receptionist at the Museum’s offices in Rockport, Texas to assist the TMM Team in its efforts to educate and excite the public about maritime history in Texas and its importance to the economic development of our great state. The receptionist is the first person with whom visitors or callers to our office engage with and is a key member of our staff. The Office Manager fills several roles including a wide range of administrative and secretarial duties for the Board of Directors and Executive Director, facility and contract management assistance, and communications. Other key areas of responsibility are membership information and record management, and museum entrance and gift shop support.

Administrative Duties
a. Assist the Executive Director (EXDIR), the Executive Assistant (ExecAsst), and the Education Director (EduDir) in carrying out the actions necessary to support the management of operations of the TMM.
b. Provide general secretarial support for the administrative staff and the Board of Trustees (BOT)as needed.
c. Provide excellent customer service to the membership base and general public via telephone, mail, and in person.
d. Coordinate the routine activities necessary for the safe and efficient operations of the TMM facilities, including contractors and vendors responsible for safety and maintenance inspections and routine services, including but not limited to fire extinguishing systems and equipment, elevators inspections and servicing, photocopier and similar equipment, computer and telephone systems, pest control, janitorial services, grounds maintenance, and irrigation system.
e. Maintain and keep current contact lists for the Board of Trustees, TMM staff, volunteers, and other parties with whom the TMM staff routinely communicates.
f. Receive mail and deliveries and ensure that incoming correspondence and materials are documented and delivered to the correct TMM staff member.
g. Order/pick up office and cleaning supplies and other materials necessary for routine office functions.
h. Open and close the museum for Front Desk Volunteers on Saturday using a rotating schedule with the Education Director and Executive Assistant.
i. Participate in preparation for and coordination of TMM events such as the Rockport Wine Festival and assist with hosting of other events and activities as assigned or needed.
j. Be available to work evenings and weekends on occasion is support of TMM events and special activities.
Membership Management:
a. Act as primary contact for TMM members by responding to membership inquiries and ensuring timely and efficient processing of membership records.
b. Send out membership renewal notification letters.
c. Maintain supplies of TMM brochures and membership information materials and initiate updates to those when criteria or benefits change.
d. Maintain membership records in the TMM computer database using the Past Perfect software.
Museum Entry and Gift Shop Support
a. Occasionally sit at the museum front desk during the week or on a Saturday.
b. Close the store every afternoon and run reports and credit card settlements.
c. Prepare end-of-month sales tax reports and store inventory.
d. Monitor, maintain, and as-needed order store merchandise, including water and sodas.
e. Maintain the sales cash box and petty cash.
f. Weekly runs to the bank to break larger bills or carry out similar tasks.
g. Keep track of all donation boxes.
